Submission Preparation Checklist

As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.
  • The main document must not have identification of the authors (anonymous). See templates.
  • The contribution is original and unpublished, and is not being evaluated for publication by another journal; otherwise, it must be justified in "Comments to the editor".
  • The submission file is in Microsoft Word, OpenOffice or RTF format.
  • URLs for references have been provided where possible.
  • The text follows the style standards and bibliographic requirements described in https://periodicos.uea.edu.br/index.php/extensaoemrevista/about/submissions, on the About the Journal page.

Author Guidelines

The “Extensão em Revista” accepts manuscripts in the native languages of the authors, whether in Portuguese, English, or Spanish, and publishes them in the original language as well as in English. The abbreviation of its title is "Exten. R." according to the rules of the Brazilian Association of Technical Standards (ABNT), and "Ext Rev" according to the NLM/NCBI Catalog (Title Abbreviation, https://www.ncbi.nlm.nih.gov/nlmcatalog), used for the Vancouver style, which should be applied in bibliographies, footnotes, captions, and bibliographic references.

 Papers should be submitted via the following link: http://periodicos.uea.edu.br/index.php/extensaoemrevista/login. As part of the submission process, all authors must register with the journal.

 

Manuscript Categories

Original Article: Original and unpublished research developed through the application of scientific investigation methods, with an emphasis on university extension activities. It must include the following sections: Introduction/Initial Considerations, Method, Results, Discussion, Conclusion/Final Considerations, and References. This category is limited to 20 pages (excluding abstract, keywords, tables, figures, and references) and a maximum of eight authors. Exceptions for a higher number of authors in multicentric studies may be approved. Following the recommendations of the reporting guidelines from the Enhancing the Qualility and Transparency of Health Research (EQUATOR) Network, where applicable, is mandatory. A maximum of 100 references is allowed.

Literature Review: Integrative, Systematic, Scoping, and, exceptionally, Narrative Reviews will be accepted. These reviews involve a critical assessment and synthesis of the literature on relevant topics related to the journal's scope. The manuscript must include the following sections: Introduction, Method, Results, Discussion, Conclusion, and References. Its length is limited to 20 pages (excluding abstract, keywords, tables, figures, and references) and a maximum of eight authors. There is no maximum limit on the number of references in this manuscript category.

Reflection/Essay: Original opinion texts that develop conceptual and methodological topics related to university extension in a discursive and reflective manner. The manuscript must include the following sections: Initial Considerations, Method Outline, The Reflection, Final Considerations, and References. The text is limited to 20 references and a maximum of four authors. This category is restricted to 20 pages (including references, if applicable).

 

Experience Report: An original text that explains how activities were conducted, highlighting the involvement of people and the results or benefits for the community. It should include the following sections: Initial Considerations, Descriptive Method of the Experience, Presentation of the Experience, Discussion, Final Considerations, and References. This category is limited to 15 pages (excluding abstract, keywords, tables, figures, and references) and up to eight authors.

Book Review: This section aims to engage readers with a specific work through a critical analysis of its content and its contribution to the field of Extension. Reviews should focus on books published within the last two years. This category is limited to four pages and two authors. Writing in this section can be free of references; however, if included, references are restricted to a maximum of five.

In Memoriam: This category is dedicated to honoring a deceased individual who has made significant contributions to the field of Extension, with the intention of sharing this moment of passage with the academic community. This category is limited to a maximum of three pages and two authors.

Interview: This section is dedicated to interviews with authorities, specialists, or researchers, invited by the Editorial Board of A Extensão em Revista. The length is limited to 10 pages.

Letter to the Editor: This category is intended for correspondence addressed to the editor regarding a manuscript published in the “Extensão em Revista”. It is limited to two pages.

Author's Response: This category allows authors to address questions raised in a Letter to the Editor. Responses must be limited to 500 words and may include up to five references. The authorship of the response is exclusively reserved for the primary author.

Editorial: The responsibility of the Editorial Board of the Extensão em Revista, which will invite authorities to write on topics of interest to the journal. The maximum length is three pages, with up to five references.

 

Manuscript Preparation

 Manuscripts will only be accepted for evaluation if they comply with the proposed model for the declaration of responsibility, conflict of interest, and copyright transfer, as well as the title page and anonymized main document, and are prepared according to the instructions below.

Title page

The title page shoud contain the information as per the TITLE PAGE TEMPLATE

Article Title: Up to 15 words, in the language of the manuscript. Abbreviations should not be used in the title or subtitles. It is recommended that the title be composed using at least three keywords.

Authorship: Full names of the authors. A Extensão em Revista follows the authorship criteria of the International Committee of Medical Journal Editors (ICMJE). Accordingly, authors must meet the following criteria: (1) Substantial contributions to the study's conception AND/OR data acquisition, analysis, and/or interpretation, (2) Drafting the manuscript AND/OR providing critical revisions with significant intellectual content,(3) Final approval of the version to be published, and (4) Agreement to be accountable for all aspects of the study, ensuring that questions related to accuracy or integrity of any part of the work are appropriately investigated and resolved.

Affiliation: Must necessarily include the following information: university (or another institution, if applicable, preferably up to three levels), city/state, country, ORCID iD, and email.

Author Contributions: The initials of the authors must be listed for each stage of the study, as exemplified below:

Study Conception: ABC, CBA
Data Collections: ABC
Data Analysis: ABC, CBA

Critical Review for important intellectual content: ABC, CBA

 

Other Types of Contributions should be mentioned in the Acknowledgments (individuals who contributed in some way but do not qualify as authors) or in the Funding section (providing information about the funding institution, type of grant or other funding, and, if applicable, the registration number of the funding).

Correspondent Author: full name, email and photo.

 

Main Document

The main document must not contain any identification of the authors (anonymous). TITLE PAGE TEMPLATE

 

  • Title: As presented on the title page.
  • Abstract: Limited to 200 words in all three languages. It should be structured into Objectives, Method, Results, and Conclusions or Final Considerations. Exceptionally, in the In Memoriam and Review categories, the abstract must be limited to 100 words and does not need to be structured.
  • Keywords: Must be included immediately below the abstract. A minimum of five and a maximum of eight descriptors should be provided in all three languages (Portuguese, English, and Spanish).

 

Abbreviations should not be used in the title, manuscript subtitles, or abstract. For tables and figures containing abbreviations, it is mandatory to include the full term in a footnote for the table or figure. Within the text, only standardized abbreviations should be used. At their first mention, the abbreviation should appear in parentheses following the full term.

Italics should only be applied to words in a language different from the vernacular text. To highlight terms or expressions relevant to the subject of the study, please use bold. For direct quotations from authors, quotations with up to three lines should use quotation marks and be included within the normal flow of the text. For verbatims (statements from respondents), they should be highlighted in a new paragraph without quotation marks, using Arial font, size 11, single line spacing, and a 3 cm indentation from the left margin. Direct quotations from authors with more than three lines should be highlighted in a new paragraph without quotation marks, in size 11, single line spacing, without italics, and with a 3 cm indentation from the left margin.

Considering the characteristics of the Vancouver style, it is recommended to avoid direct quotations, giving preference to indirect citations.

 

Citations: Author citations in the text must be numbered consecutively, in the order they are first mentioned in the text, following the Vancouver style (https://www.ncbi.nlm.nih.gov/books/NBK7256/). Arabic numerals in superscript should be used, without any space after the punctuation of the sentence or paragraph [Example: care.⁵]. For sequential citations, numbers should be separated by a hyphen, indicating a numerical range [Example: care.¹⁻⁵]. For non-sequential citations, numbers should be separated by a comma [Example: care.¹,³,⁵]. For direct quotations, the page number cited must be included [Example: care.¹:26].

Footnotes: Footnotes must be restricted to a maximum of five.

Appendices and Attachments: Appendices and attachments will not be considered.

 

Tables, charts, and figures such as photographs, drawings, graphs, among others, must be presented within the body of the manuscript and numbered consecutively using Arabic numerals, in the order in which they appear in the text, with a maximum limit of five. Illustrations must be submitted in their original editable files from the source programs or exported as vectorized files in EPS or PDF formats. Tables, charts, and figures must mandatorily include a title. For figures, the title should be located below the figure, and for tables and charts, the title should be located above the table or chart. Tables and charts should be standardized according to the recommendations of the Brazilian Institute of Geography and Statistics (IBGE).

Illustrations (figures, photographs, or images) in any category must have high resolution to allow their publication at a size occupying a quarter of an A4-sized page.

 

References: The Extensão em Revista adopts the "Uniform Requirements for Manuscripts Submitted to Biomedical Journals" published by the International Committee of Medical Journal Editors (ICMJE), using the Vancouver style, available at: http://www.icmje.org (except for specific cases described below).

 

Include the DOI as an electronic access option in all references to ensure a permanent link to the electronic article. For articles or texts published on the internet that do not have a DOI, provide the full URL address along with the date of access when it was consulted.

 

  • Formatting of the reference list: It should use single spacing (1.0) with 0.6 spacing afterward. Font size 10, justified alignment, without paragraph indentation, margin adjustments, or offsets.
  • Recency of references: Preferably, at least 70% of the references should be from the past five years.
  • Scientific journals: Preferably, at least 70% of the references should be from scientific journals.
  • Citation numbering: References in the text must be numbered consecutively, in the order they are mentioned for the first time. The references should be listed in the same order of their citation in the text, disregarding alphabetical order of the authors.

 

Citations in the text should be identified by Arabic numerals in parentheses and superscript, without mentioning the authors, except when strictly necessary for the sentence construction. In such cases, include the name (without the year) and the corresponding number.

Sequential citation of authors: When citing sequential numbers, separate them with a dash (e.g., 4,5,6,7 becomes 4–7). For non-sequential numbers, separate them with a comma (e.g., 6,8,12). When there are only two numbers in the sequence, use a comma (e.g., 5,6).

Author listing: List the first six authors' names, followed by "et al." for additional authors.

Reference accuracy: The accuracy of the references is the responsibility of the author(s) and must adhere to the Vancouver style.

Journal titles: Journal titles must be abbreviated according to the NLM guidelines (Title Abbreviation - https://www.ncbi.nlm.nih.gov/nlmcatalog).

Publications Guideline and Prior Registrations

The “Extensão em Revista” supports the Policies for the Registration of Clinical Trials of the World Health Organization (WHO) and the International Committee of Medical Journal Editors (ICMJE), recognizing the importance of these initiatives for the registration and international dissemination of information on clinical studies in open access. Therefore, only manuscripts of clinical research that have received an identification number in one of the Clinical Trial Registries validated by the criteria established by WHO and ICMJE, and whose addresses are available on the ICMJE website, will be accepted for publication. The identification number must be recorded at the end of the abstract.

The “Extensão em Revista" advocates for initiatives aimed at improving the presentation of scientific study results by encouraging authors to use international guidelines in the preparation of articles on randomized clinical trials, systematic reviews, meta-analyses, observational epidemiology studies, and qualitative studies. These international guidelines consist of checklists and flowcharts published in international statements. Their use in manuscript preparation can increase the potential for publication and once published, enhance the usage of the reference in subsequent research.

Translation studies and instrument validation - In the English and Spanish versions, translation studies and instrument validation must preserve the items of the instrument in Portuguese, the language in which the study was conducted.

 

Policy for Article Review

The journal accepts contributions on a continuous basis. For any section, only manuscripts submitted through the electronic submission system (https://periodicos.uea.edu.br/index.php/extensaoemrevista/about/submissions) will be accepted.

The evaluation of manuscripts has two dimensions: administrative and scientific editing.

 

  • In the administrative process, the submitted manuscript is reviewed by the editorial team to ensure compliance with the guidelines.
    • If non-compliant, the material is returned to the authors for adjustments, and the submission process is not completed.
    • If compliant, the manuscript proceeds to evaluation by the scientific editors. Here, the manuscript is analyzed to determine if it meets the journal's scope and the requirements for scientific production. If it fails to meet either of these criteria, the manuscript is summarily rejected.

 

Scientific Editing: If deemed compliant, the scientific editors delegate the manuscript's review to ad hoc reviewers to provide their evaluations. The “Extensão em Revista” adopts the (blind peer review/double-blind) model, consisting of two or more referees assigned to review the manuscript anonymously—both authors are anonymous to the reviewers and reviewers are anonymous to the authors.

         The criteria for manuscript evaluation consider the following: Social relevance of the topic, Originality of the contribution to the thematic areas of Extension (Communication, Culture, Human Rights and Justice, Education, Environment, Health, Technology and Production, and Labor), Clarity of objectives, Methodological adequacy to the proposed study, Relevance of bibliographical references, Text structure adequacy, Clarity and scientific quality in the writing.

          The evaluation results for the manuscript may include (1) Accepted, (2) Minor revisions, (3) Major revisions, (4) Resubmit, (5) Rejected, or (6) Submit to another journal (if it does not fit the scope).

         The reviewers’ evaluations are considered by the scientific editors and the Editor-in-Chief, who then communicate the decision to the authors. Authors must adhere to the deadlines set by the journal, or risk having their manuscript archived.

 

Scientific Integrity, Retraction, and Correction

Regardless of the type of manuscript you are submitting, remember that the language used is important. We are committed to promoting equity throughout our publishing program and believe that language use is a simple yet powerful way to ensure that the communities we serve feel welcome, respected, safe, and able to fully engage with the publication process and the published content. Considerations for inclusive language are especially significant when discussing topics such as age, appearance, disability, ethnicity, gender, gender identity, race, religion, sexual orientation, socioeconomic status, immigration status, weight, and non-sexist language.

The “Extensão em Revista” adheres to the Code of Conduct and Best Practice Guidelines for Journal Editors and the flowcharts of the Committee on Publication Ethics (COPE) (https://publicationethics.org/) to take appropriate editorial actions in cases of plagiarism, self-plagiarism, data fabrication, redundant publication, undisclosed conflicts of interest, and possible post-publication critiques that may lead to correction or retraction. Such practices may be identified during the review process or even after publication. Authors must comply with the standards of good conduct and scientific integrity outlined in these guidelines, and ad hoc reviewers are instructed to remain vigilant for potential misconduct by authors.

The “Extensão em Revista” requires compliance with the norms established in the resolutions of the National Health Council (466/2012, 510/2016, 580/2018, and any others that apply) for research involving human subjects conducted in Brazil. For research involving human subjects conducted in other countries, the journal requires compliance with the norms established in the Declaration of Helsinki (https://www.wma.net/policies-post/wma-declaration-of-helsinki/) or equivalent local guidelines.

 

Conflicts of Interest

         All conflicts of interest, if any, must be disclosed at the time of manuscript submission and presented on the title page. Potential sources of conflicts of interest include, but are not limited to, patents, ownership of shares in companies directly or indirectly involved in the research, participation on a company's board of directors directly or indirectly involved in the research, participation on an advisory board or committee of a company directly or indirectly involved in the research, and consultancy or receipt of speaker fees from a company directly or indirectly involved in the research. The existence of conflicts of interest does not prevent publication, provided that they are properly disclosed.

 

Anti-Plagiarism Policy

Articles submitted to the “Extensão em Revista” will be checked using software to identify plagiarism and self-plagiarism before evaluation or at any time during the editorial process. The originality of the manuscripts must be ensured, and if they include works from other authors, these must be properly cited. Practicing plagiarism or self-plagiarism, in any form, is unacceptable. Consequently, authors may receive inquiries regarding potential issues, and if plagiarism is definitively proven, the manuscript will be returned to the author.

 

Payment of fees

Extensão em Revista charges a publishing fee of R$ 500.00, which should only be paid once the manuscript has been accepted for publication. Payment should be made  via PIX or bank transfer to the journal's account, according to the instructions provided in the acceptance letter. Proof of payment must be attached to the platform following the specific guidelines for this stage.

General Submission Conditions

The submission of documents for evaluation is carried out via the Open Journal System on the website: http://periodicos.uea.edu.br/index.php/extensaoemrevista/about/submissions

 

  1. All authors must be registered on the journal's website and included in the "Contributor List" field.
  2. The metadata for all authors (not just the submitting/corresponding author) must be fully completed, including:
    • Full name, spelled out,
    • URL for the Lattes Curriculum (for national authors),
    • ORCID ID (for all authors),
    • Institution of origin/affiliation name (preferably up to three levels),
    • City/State and country,
    • Email address,
    • Biography summary (professional category and highest degree obtained).
  3. Once the manuscript is submitted, adding or modifying authors is not allowed, especially after the editorial committee's decision on the evaluation.
    • During submission, a Word file containing the article text must be uploaded, as well as the following supplementary documents:
      • Identification page in Word format (Title Page),
      • Declaration of Responsibility and Transfer of Copyrights, prepared according to the template available on the journal's website, in PDF format,
      • Conflict of Interest Declaration, prepared according to the template, in PDF format,
      • Copy of the Ethics Committee Approval in cases where research involves human subjects, in PDF format.

Notes:

  • The author order must remain consistent with the title page during the manuscript submission.
  • It is preferable for signatures to be made digitally via gov.br or through accredited institutional signatures for authors from Brazil. If digital signatures are not possible, printed signatures must be scanned and submitted.

Interview: This section is dedicated to interviews with authorities, specialists, or researchers, invited by the Editorial Board of A Extensão em Revista. The length is limited to 10 pages.

Letter to the Editor

Author's Response

Author's Response: This category allows authors to address questions raised in a Letter to the Editor. Responses must be limited to 500 words and may include up to five references. The authorship of the response is exclusively reserved for the primary author.

Editorial

Editorial: The responsibility of the Editorial Board of the Extensão em Revista, which will invite authorities to write on topics of interest to the journal. The maximum length is three pages, with up to five references.
